Summary:
We are seeking a detail-oriented Project Manager with a minimum of 7 years of experience to lead and manage complex, cross-functional projects across service delivery operations. This role operates across various portfolio of organizations covering IT infrastructure, service delivery, vendor management and operations. You will own project execution across multiple workstreams, work hands-on with our internal platforms (ClickUp, Smartsheet etc.) and serve as a bridge between delivery teams and senior leadership. This is a high-ownership role for a candidate who thrives on accountability, communicates proactively, and is comfortable navigating complexity across technology, operations, and compliance domains in a fast-paced affordable housing and real estate services environment.
Responsibilities:
Flexibility to work during the US shift is essential.
Project Ownership & Delivery
- Own the end-to-end lifecycle of assigned projects — from initiation and planning through execution, monitoring, and formal closure.
- Manage concurrent workstreams across IT infrastructure, property operations, vendor rollouts, and enterprise software deployments.
- Track project milestones, risks, and dependencies using ClickUp and Smartsheet; maintain accurate and up-to-date project plans at all times.
- Proactively identify risks, escalate blockers to the Senior PM, and implement mitigation strategies to keep deliverables on track.
Reporting & Governance
- Prepare daily, weekly, and monthly status reports, MIS dashboards, and executive-level project summaries for review by the Senior PM and leadership stakeholders.
- Monitor timesheet accuracy, workforce utilization, and billing inputs; reconcile discrepancies in coordination with department managers.
- Maintain governance documentation including project charters, SOPs, RACI matrices, and decision logs across assigned portfolios.
- Ensure compliance with reporting protocols, audit readiness, and internal governance standards across all workstreams.
Technology & Tools Coordination
- Serve as the operational point of contact for ClickUp administration — managing task structures, automation rules, inbox monitoring, and workflow configuration across teams.
- Support IT procurement workflows including vendor coordination, equipment tracking, and order management via Amazon Business and other channels.
Stakeholder & Vendor Management
- Act as the primary coordination point between field technicians, delivery teams, and the Senior PM — ensuring clear communication and timely escalation.
- Coordinate with external vendors on contract tracking, SLA adherence, and operational issues.
- Facilitate cross-functional meetings, capture minutes, track action items, and follow through on resolution within agreed timelines.
Process & Continuous Improvement
- Champion process standardization and documentation across delivery teams — developing SOPs, onboarding guides, and training materials.
- Drive Agile and iterative project management practices across assigned workstreams to improve speed, quality, and governance.
- Identify opportunities for tooling improvements, workflow automation, and operational efficiency within the PMO function.
Skills:
- Full lifecycle project management — scope, schedule, budget, risk, and stakeholder management.
- Strong command of Agile, Scrum, and traditional (waterfall) project methodologies.
- Proven ability to manage multiple concurrent projects without sacrificing quality or
- timelines.
- ClickUp — advanced proficiency: task management, automation rules, custom fields, inbox workflows, and dashboards.
- Smartsheet — intermediate to advanced: project tracking, critical path, forms, and
- reporting.
- Microsoft 365 — Outlook, Teams, SharePoint, Excel (pivot tables, formulas, data validation).
- Familiarity with AI tools such as Claude is a strong advantage.
- Exposure to IT infrastructure tooling is a plus.
Experience:
- Minimum 5 years of hands-on project management experience, with at least 3 years in a senior or lead PM role.
- Bachelor’s or master’s degree in business administration, Information Technology, Engineering, or a related field.
- PMP, PRINCE2, CSM, or equivalent project management certification is strongly preferred.
- Prior experience in a KPO, BPO, shared services, or real estate services environment is highly desirable.
- Experience with IT project coordination, enterprise software deployments, or infrastructure projects is an advantage
